TITLE:

Accounts Payable Specialist

POSITION DESCRIPTION:

We are looking for a detail-oriented accounts payable specialist to join our growing team! The ideal candidate will be responsible for the timely and accurate processing of invoices and payments, ensuring compliance with company policies and procedures. Aspiring candidates must possess a fundamental knowledge of bookkeeping and accounts payable principles, along with exceptional date entry skills and proficiency in using spreadsheets. This position will report directly to the Controller and will work closely with other members of the accounting team.

JOB RESPONSIBILITIES:

Works with the Crew Supervisor and other technicians to accomplish:

• Receive and process invoices from vendors, ensuring accuracy and completeness of information.
• Code and enter invoices into the accounting system.
• Ensure timely and accurate processing of payments to vendors.
• Resolve any invoice discrepancies or issues with vendors in a timely manner.
• Reconcile vendor statements and resolve any outstanding balances or discrepancies.
• Communicate with other departments to ensure accurate recording of expenses and proper authorization for payments.
• Assist with month-end close activities, including preparing accruals and reconciling accounts.
• Maintain accurate and complete records of all accounts payable transactions.
• Monitor office inventory and order mail supplies (postage/stickers, envelopes…)
• Work with Purchasing Agent to organize, inventory, and order corporate administrative and project supplies while maintaining daily supply needs (copier paper, pads, pens, folders…)

MINIMUM QUALIFICATIONS:

• Bachelor’s degree in Accounting.
• 2-3 years’ experience with accounts payable or general accounting.
• Meticulous attention to detail and accuracy.
• Strong organizational and planning skills.
• Problem identification and resolution skills.
• Written and verbal communication skills.
• Highly motivated and able to work with minimal supervision.
